Quoting usually happens away from the job record, in a separate document that then has to be manually recreated as work once it is accepted.

Here the quote is attached to the job it describes. What was quoted, what was approved and what was eventually done stay connected.

When a quote is accepted it becomes scheduled work directly, carrying the scope with it.

Four steps, and none of them are magic.

  1. build

    The quote starts from the work, not a blank page

    Pull in the asset, its history, the labour the job implies and the parts it needs. A quote for a machine you have serviced before begins with what that machine has actually cost to fix.

  2. price

    Rates come from your book

    Labour rates by skill and time of day, parts at your pricing, contract discounts where the customer has an agreement. Margin is visible while you build, not after you have sent it.

  3. send

    Approval is tracked

    The customer receives it, views it, accepts or asks for a change, and each of those is on the record with a time against it.

  4. convert

    An accepted quote becomes the job

    Approved scope becomes a work order with the parts reserved and the labour scheduled. Nothing is retyped, so what was sold is what gets dispatched.
