Every enquiry complete before sales sees it.
Qualifies new leads, collects missing information needed for quoting, and delivers complete sales-ready opportunities to the CRM (External). Your salespeople open a list of leads that are already complete, already checked against your service areas, and already theirs.

what it is for
Half an enquiry is not a lead.
Most enquiries arrive short of something. A web form with no site address, a phone note with the scope in it but no timing, a referral with a company name and nothing else. Someone has to read each one, work out what is missing, write and send the chase, wait, and start again. That work sits between the enquiry and the first sales conversation, and every day it sits there the enquiry cools.
AI Lead Assistant closes that gap. It checks each enquiry against the fields you decided a lead needs, asks the customer for what is not there in your own wording, tests the result against your service areas and criteria, and hands it to the salesperson who owns that territory. Pricing, negotiation and commercial terms stay with your sales team. The agent never puts a number in front of a customer.
Lead queue
Complete before it lands
A lead reaches a salesperson with the address, the scope and the timing already on it, or with the reason it is still waiting written down.
No enquiry goes cold
The follow-up goes out on the channel the enquiry arrived on, inside the schedule you set, including on the days your sales team is out on site.
Pricing stays with sales
It will not quote, indicate a range or hint at one. A pricing question is passed to the salesperson with the question attached.
check what arrived
It knows what is missing before you read it.
A lead is complete or it is not, and that is a decision you should only have to make once. The agent checks each enquiry against your own list of required fields and marks the gaps by name.
Address, site, scope, timing, or whatever set your team decided a lead needs before anyone can quote. The list is yours. A lead counts as complete only when it carries all of it.
Where the detail sits in the message body rather than in a field, it is picked up from there. A note typed against a phone enquiry is read the same way as a web form.
An enquiry from an existing account is attached to that account, so a second lead is not opened beside the one a salesperson is already working on.
The lead shows which fields are absent rather than a single incomplete flag, so anyone who picks it up knows exactly what is still to come and from whom.
Completeness check
ask for the gaps
It chases the detail so nobody else has to.
Chasing is the part that gets dropped when the week is busy. The agent sends the request in your wording, on a schedule you set, and stops the moment it has an answer or somebody on your team steps in.
Follow-ups go out from the templates you wrote, on the channel the enquiry arrived on. The agent fills in which detail is being asked for. It does not compose a message of its own.
You set how many attempts and how far apart. When they run out the lead is passed to a person with the history on it, rather than chased indefinitely.
An answer that gives the address or the access hours is written to the right field, so the next person sees a complete lead rather than a thread to interpret.
If a salesperson has already been in touch, the queued follow-up is cancelled, so a customer is never chased for something they have already given.
Open requests
qualify and hand on
Qualified, assigned and never priced.
The last step is where a lead becomes somebody’s. The agent applies your criteria as they are written, assigns by your rules, and books the visit, and stops well short of anything commercial.
Service areas, the services you actually offer, minimum job size, anything else you set. It applies your rules as written. It does not weigh them up and decide a lead is worth an exception.
To the owner of that area, that service line or that account, following your rules. Where an owner is on leave it follows your cover rule rather than leaving the lead sitting unowned.
It offers times the salesperson genuinely has free and writes the appointment into the calendar and onto the lead, with the site address and the scope already on it.
Not a figure, not a bracket, not a comparison with a similar job, even when a customer asks directly. The question goes to the salesperson with the enquiry attached.
Approved actions
how it works
Four steps, then it hands on.
The same four run on every enquiry. It asks and it assigns. It never puts a number in front of a customer.
-
audits
Scans incoming prospect enquiries to confirm all required data points — site address, service scope, square footage, and timing — are present.
-
requests
Sends automated, professional follow-up prompts to the client requesting any missing site access details or specific cleaning requirements.
-
qualifies
Validates the prospect against commercial criteria, service location zones, and margin viability before creating formal CRM lead records.
-
progresses
Assigns verified leads to designated sales representatives and schedules preliminary site walkthroughs or diagnostic visits.
where the line sits
What it handles, and what it hands over.
Every enquiry your business takes sits on one side of this line or the other, and your required fields decide which.
| Enquiry | What the agent does | Who finishes it |
|---|---|---|
| Complete, inside your area | Qualifies it against your criteria and assigns it to the owner of that territory or service line. | Salesperson calls |
| Missing a required field | Sends your follow-up asking for the address, scope or timing that is not there, then waits. | Salesperson, if no reply |
| From an existing customer | Attaches it to the account and tells the account owner rather than opening a second lead. | Account owner |
| Site visit needed | Offers the times the salesperson has free and writes the booking onto the lead. | Salesperson attends |
| Outside your service area | Marks it out of area and passes it on. It sends no decline of its own. | Sales manager |
| Anything it cannot place | Leaves it unqualified with the reason on the lead rather than guessing a territory. | Named owner |
you set
Before it runs its first job, three things come from you.
- Mandatory qualification fields per service vertical (e.g. commercial cleaning, deep clean).
- Follow-up message templates for missing client information.
- Lead assignment rules based on territory, service tier, and sales capacity.
None of it is a data migration. It reads the Sales Agent - Inbound ( Customer Facing) records you already keep.
stays with your team
The assistant validates data completeness and commercial criteria. Final deal terms, custom commercial negotiations, and pricing agreements remain in the hands of your sales executives.
A lead arrives with the address, the scope, the timing and the reason it qualified, so the first sales call starts on the work rather than on the facts.
rollout
Start it on one intake channel.
Most teams do not switch every action on at once, and nothing here requires it. The usual order:
Watch first
Connect a single enquiry channel with every action switched off. It checks and qualifies, and sends nothing. You read a week of its decisions before a customer sees one.
Chase one field
Turn on the follow-up for a single missing field, so nobody waits on it, while qualifying and assignment still happen by hand on your team.
Then assign by territory
Release assignment for one territory, compare a fortnight of leads with what your team would have done, and add the next when you are satisfied.

What teams ask about AI lead assistant.
Only inside the rules you set. Anything outside them - listed under "you set" above - goes to a named person on your team, with the record attached. There is no state where it silently makes a judgement call you have not already approved.
Days, not months. It reads from the records you already keep in Sales Agent - Inbound ( Customer Facing), so there is no separate data migration or new system for your team to learn before it can start.
Yes, instantly, and every action it took stays on the record so you can see exactly what it did and reverse it. Turning it off does not remove or hide anything it has already written.
No. It takes the routine, repeatable part of the job off their desk so they spend their time on the exceptions and judgement calls that actually need a person - the work listed under "stays with your team" above.
AI lead assistant runs on your Sales Agent - Inbound ( Customer Facing) records, alongside Lead Generation and Appointments, so nothing needs re-keying between systems.
No. A queued follow-up is cancelled as soon as a person on your team replies, or as soon as the missing detail arrives by any route. The agent checks the lead before each attempt rather than working from a list it built when the enquiry came in.
It never declines an enquiry. Out-of-area and below-criteria leads are marked with the rule that caught them and passed to a sales manager, who can take it on anyway. Nothing is closed, and no customer is told no by the agent.
It works from the record your team logs. Where a phone note carries the address, scope and timing, the lead is complete and moves on. Where it does not, the agent asks by the channel you set, which may be email or a message back to the contact.
